Board Meeting Agenda

Call to Order (Christine/Kati) - 6:06 p.m.

Principal News & Updates (Dan/Tim)

  • Capital improvements:
    • New cafeteria tables- $2,000 per table, each table has 8 stools for kids. 18 tables needed. Total = $36,000. New tables would be mobile with integrated bench seating. 
    • Options for new PTO fundraising goals for 2027-2028
    • Current tables to another Rockwood school.
  • Planting for front planters
    • Front planter sculptures- 
    • 1st bid from Jami Schapaugh for $950 per sculpture.
    • Scope of work- 4 crayons, 3 markers, 2 pencils, outdoor base, with water and weather resistant coating.
    • Sculpture guaranteed for 2 years. Artists will maintain if there are any defects. After 2 years they can come back to fix it for a fee.
    • Work completed before August 1st, 2026.
    • Total cost for two = $1,900
    • Sarah Favier to go over scope of work and determine an alternative price to complete similar options.
    • Determine if planters will be covered by building expenses or PTO will fund.
  • Sign snag
    • Sign permits were declined from the city because of the residential zones laws- 200 feet from the nearest house which isn't possible. 200 feet would be located in the middle of the parking lot.
      • Zoning previously addressed at the beginning of the process. We received a verbal go-ahead from planning and escalated to the Mayor. The mayor said “give them their sign”. 
  • Many teachers haven't used their Teacher/ Staff Support Grants. Reach out to teachers that have not used $200 teacher funds.

Treasurer Update (Karen/Chris)

  • March Financials. 
    • Money Market Account- (3/31) Closing balance: $60,205.13
    • Checking Account- (3/31) Closing balance: $13,598.03
  • Mini Grants: $2,215.33 remaining (4/1)
    • Mini Grant from February- Rachel Rowan, new chrome book cart for charging. The district won't provide new ones.
      • Open concept- $365.95 from Amazon
      • Price change since february
      • Haven't used all of teachers funds, $68.90 left
      • Ask mini grant for remaining: $297.05
      • Lisa Gray motions, Starr Carroll seconds, all in favor- APPROVED
    • Mrs. Hutchinson and Delanie Smith- new mobile math easels on swivels
      • Focus on collaborations around the room and will help with instructions and spreading out groups. 
      • Two 5th grade classes, 25 students each class.
      • $197.98 for both
      • Starr Carroll motions, Lisa Gray seconds, all in favor-  APPROVED

 

Sunshine Committee - staff lounge (Meredith Van Doren)

  • Lounge Oasis Presentation- Van Doren (and Maggie Gary- K)
  • Calm and Cozy bohemian colors where teachers can come to relax.
  • Colors-green with warm oak accents and with natural rattan. Light- warm and ambient. 
  • Coffee bar with chalkboard wall.
  • Two arm chairs with coffee table, hanging lights and bookcase.
  • Dual purpose gathering space- long dual purpose table along windows with outlets and stools in place of folding tables.
  • Refinishing the cabinets, oyster color and updated hardware
  • Black out curtains.
  • Add a gallery wall with rattan baskets and photos. Teachers will bring their own frames and pictures of their favorite places they have traveled.
  • Greenery and plants to add to the cozy, calming space.
  • Work must wait until all of the indoor HVAC summer work is completed. 
  • The last day to enter the building is the May 28th.
  • To do: Divide work into stages.
  • First things on the wish list/ maximum first stage effect: Painting the cabinets, painting chalkboard wall for coffee area, making the gallery wall. 
  • Detailed cost breakdown to come. Original estimated budget for all is $3,000

 

Approval of March Agenda (Christine/Kati)

  • Christine Linder motions to approve, Lisa Gray seconds. Minutes APPROVED.

Taste of the World (Maggie) - April 16th 

  • 30 families, 35 tables, 29 different regions are represented.
  • Volunteers needed for set-up and take down.
  • Event held at Eureka Elementary. Starts at 6pm with flag parade and performances starting at 7pm.

Geggie Night at the Ballpark (Kati) - May 1st

  • We have until April 4th to sell- 54 tickets sold so far.
  • We have reached the 300 goal with Mrs. Schaefferkoetter

Staff Appreciation Week (Christine) - May 4th-May 8th 

  • Working on themes and reaching out to places for in kind donations

Volunteer/Committee Signups (Elyse)- through ptoffice.io

  • Multiple people have signed up already.  
  • Better compatibility with the computer

Open board positions (Christine/Kati)

  • Co-Vice President (2 positions)
  • Co-Treasurer 
  • Co-Secretary
  • Co-VP Communications 
  • Co-VP Fundraising (2 positions) 
  • Need to update the by-laws 

Misc. Business (Christine/Kati)

  • Mrs. Macaw’s class made PTO a ‘Thank you’ card for the literary station her class received through Mini Grants.
  • Calendar and budget meeting for next year needs to be scheduled with principles.

 

Recap:

  •  City2 Fundraiser-
    • 76 tickers- $380 to Geggie. Great video of the kids walking out
    • May not want to continue for a fall event in future- schedule not working with the dates presented.
  • Proposed for next year- do one spring fundraiser- parents losing interest by end of year.
  • Spring conference meal (Christine)- Catered by Joe Bacardi- pasta and salad. Accommodations made for staff dietary restrictions.
    • Proposed- Make a comprehensive list of staff restrictions for future
  • Website payment processing- trying Stripe
    • Stripe is possibly the work around for the PTO Today website payment issues. Elyse to reach out to Brent from PTO today to make it more usable for search options by grade and teachers.

Upcoming:

  • PTO Presidents’ Forum - Wednesday, April 8, from 6:30-8:30 at Dogwood Social. (This meeting is for all incoming, current and exiting executive board members.)
  • PTO Presidents’ Forum - Wednesday, May 13 at noon at Blevins
  • Next Meeting: Wednesday, 5/6 from 6 p.m. - 7 p.m.
